Registration Deadline
Registration deadlines are established for each program to help provide a positive experience for program participants by ensuring appropriate staffing, supplies and facilities to meet the registration needs. Please refer to program descriptions for each program’s registration deadline. If no registration deadline is listed, the deadline is seven days before the program begins.
Refunds
A full refund for a program is given if the participant cancels before the registration deadline. Refunds are issued by check (mailed within 15 working days), credited to your account or credited to your charge card. Refunds for program fees of $10 or less are credited to the participant’s account. If the participant cancels after the registration deadline, a refund is only issued if the space can be filled by another participant or with approval from the recreation supervisor. If that is the case, the refund amount, minus the $5 processing fee, is issued. No refunds are issued after the start of a program without approval from the recreation supervisor.
Wait Lists
At your request, your name can be placed on a wait list if a program is full. We call you if/when an opening occurs. You have 24 hours from the time the message was left to return our call and pay for the program in person. Otherwise, the next person on the wait list is contacted.
Transfers
Transfers from one program to another are made on a space-available basis. An "even exchange" transfer before the registration deadline can be completed by calling the Community Center at 952-949-8470. A transfer after the registration deadline is made at the discretion of the recreation supervisor. If approved, a $5 processing fee is applied. Transfers are not accepted within 24 hours of the start of a program.
Cancellations
Eden Prairie Parks and Recreation reserves the right to cancel, postpone or combine programs, and change instructors. When classes with insufficient enrollment are canceled, payment is refunded or credited to your account. Participants are notified of program cancellations prior to the start of the program.
Photos
Photographs and video are periodically taken of participants while they are in programs, special events, City facilities or enjoying the parks. Please be aware that these photos may be published online or in print.
Behavior Guidelines
When a participant demonstrates consistent inappropriate behavior or has needs that transcend program expectations, staff identify the areas of concern or need and make an action plan to promote successful participation.
Late Pickup
Participants are required to be picked up at the ending time. A $1-per-minute fee is assessed to late pickups (after a 10-minute grace period).
Data Privacy
The Data Privacy Act requires that we inform you of your rights about the private data we are requesting on our forms. Private data is available to you, but not to the public. This information can be shared with Parks and Recreation Department staff. You can withhold this data, but we may not be able to complete your registration and/or you may not receive updated program information.
Illness
If your child is sick, please do not send them to the program and notify staff that they are not attending. If your child becomes ill during camp, they are isolated from the group until a caretaker is able to pick them up. If the child has symptoms of COVID-19, testing and quarantine follows, and a negative test or alternative diagnosis is needed to return to the program.
Medication
Per the City's policy, if your child will be taking any medication when they are participating in our programs, we ask that you request a medication permission form by emailing Nicole Weedman or calling 952-949-8456.
Allergies
Please contact the Parks and Recreation Department to request an allergy action plan form and return it to your child’s program staff.
